The Efficient Business Trip From McKinney

Optimize your carry-on, your calendar, and your points balance.

By Jordan Pike

Business travel rewards routine more than any other kind of trip. When you're doing it often enough, every decision you re-make from scratch — what to pack, when to leave, which airport — is time and mental energy you're not spending on the actual trip. Standardize the packing list, the carry-on layout, and the arrival buffer once, and every trip after that gets easier.

Aim for a hard-sided 22-inch carry-on and a slim personal item, and keep the same things in the same pockets every time. Chargers, headphones, and any medication go in the personal item specifically — not the carry-on — so you never have to open the overhead bin mid-flight or dig through checked layout during a tight connection. The goal is that packing becomes a five-minute muscle-memory exercise, not a decision.

Global Entry and TSA PreCheck pay for themselves within a single round-trip if you fly for work more than a couple times a year. Beyond the obvious time savings at security, PreCheck changes how you plan your morning — a 60-minute buffer feels comfortable instead of tight, which means fewer stressed pre-meeting mornings and more slack to absorb the traffic you can't control.

Book flexible fares whenever the meeting date has any real chance of moving. The fare premium for a flexible ticket is almost always smaller than a same-day change fee on a restricted one, and the math gets more lopsided the closer you are to departure when the change happens. If your calendar has a habit of shifting, pay for the flexibility upfront rather than gambling on the restricted fare.

For departures out of DFW or Love Field, build drive time into the actual calendar invite, not just your mental estimate — 45 minutes minimum from central McKinney, 75 in rush-hour traffic on US-380 or the Dallas North Tollway. A meeting that runs 15 minutes long shouldn't turn into a sprint through the terminal; block the real number, not the optimistic one.

Once your trip is on one of Avelo's DTX routes — Las Vegas, Orlando, Tampa, Fort Lauderdale and Fort Myers from November, plus Denver, Atlanta, Nashville, New Orleans, Sarasota and West Palm Beach from mid-December — that drive-time math changes entirely. A four-gate terminal minutes from central McKinney turns a 45-minute buffer into something closer to 20, which is real time back in a schedule that's usually short on it.

Choose hotels with reliable Wi-Fi and an early breakfast if you've got morning meetings on arrival — it matters more than star rating for a one-night business trip. Airport-adjacent properties beat downtown when your flight out is before 8 a.m.; the extra 20 minutes of sleep is worth more than the better restaurant options.

If you're driving to client sites once you land rather than relying on rideshare, book the rental car ahead of time and skip the counter line entirely where the option exists — on a tight single-day trip, that's 15 minutes you can't get back if the counter's backed up.
